The members participating in the team are displayed at the bottom of the 'Participating member' column on the create/edit schedule adjustment calendar page.
How to select a member
Select Member
Click on a member to select it and it will turn green.
Enter text in the search box and only matching members will be displayed. You can search by team member account name.
The members who are green are the members who are candidates to attend the relevant meeting.
The maximum number of members that can be selected is seven, regardless of the participation method.
* In the case of the Free Plan, the maximum number of members that can be selected is two.
Calendar Slot Availability
Select whether "All participants must be available", or "One or more participants must be available".
When there are several people in charge of a meeting, this function allows you to present free dates for all of the people in charge of the meeting, or to present free dates for one of the people in charge of the meeting to the other people.
How to determine participants and Priority
You can set the assignment method and priority order of participating members.
In the case of "Random", participating members are randomly selected from among the members whose schedules are available in the linked calendars.
In the case of "Priority order", participating members will be assigned in the order of their priority from among the members who have free appointments in the linked calendars.
This function is available for Basic Plan or higher.
Schedule Adjustment Method
If the dates are arranged at a time when all the candidate members are available
When the meeting partner selects a date from the schedule adjustment calendar and the schedule adjustment is completed, an email will be sent to all the members selected from the member selection.
In addition, appointments are automatically entered into the Google Calendar or Microsoft 365 Calendar that each member is linked to.
If the dates are arranged at a time when any one of the candidate members is available
When the meeting partner selects a date from the schedule adjustment calendar and the schedule adjustment is completed, an email will be sent to only those members who have confirmed their participation.
In addition, appointments are automatically entered into the Google Calendar or Microsoft 365 calendar of members who have been confirmed to participate.
Indication of participation method
Once you have completed the booking, the participants and their participation method will be displayed on the scheduling calendar on your dashboard.
